Overview
We automated the client's entire inbound lead pipeline, removing roughly 12 hours of manual SDR work per week and cutting lead response time from hours to minutes. Every inbound lead is now enriched, scored, and routed automatically, with a human approving every outbound message.
The Challenge
What needed to change
Inbound leads were handled entirely by hand. Response times stretched into hours, qualification was inconsistent from rep to rep, and the team's best closers spent their day researching companies and keying data into the CRM instead of selling. Slow, uneven follow-up loses deals to whoever replies first. The process could not scale with lead volume, and the cost was paid in missed revenue and burned-out reps.
Our Approach
How we engineered it
We built the pipeline on n8n with Claude handling the language-heavy work, treating it as a production system rather than a demo. Each lead is auto-enriched with company, role, and intent signals, then scored against the client's ideal-customer profile so reps act on the right prospects first. Claude drafts a personalized first-touch email, but nothing sends without rep approval — we kept a human in the loop on every outbound message to protect the brand and the relationship. Every action writes back to the CRM through its API, so the system of record stays the single source of truth.

AI-drafted first-touch email
Claude drafts a personalized opening email for each lead. The rep reviews and approves before anything sends — human in the loop on every message.
Automated calendar booking
Qualified prospects are offered self-serve calendar booking, collapsing the back-and-forth of scheduling a first call.
CRM write-back
Enrichment, scores, and activity write back to the CRM via its API, keeping the system of record complete and current without manual entry.

The stack, and the reasoning
n8n gave us a maintainable, observable orchestration layer the client can reason about, rather than a black-box script. Claude handles enrichment summaries and email drafting where language quality matters, while webhooks and the CRM API keep everything event-driven and in sync in real time. The approval step is a deliberate design choice — automation for speed, humans for judgment.
