We replaced EuroWork's Excel-and-email recruitment process with a tracked candidate pipeline and a self-serve client portal. Placement cycles are now 40% faster, clients have full real-time visibility without calling for updates, and status emails are fully automated.
The Challenge
What needed to change
EuroWork tracked its recruitment pipeline in Excel and email, leaving client companies with no visibility — they had to call for status on every candidate. CV management meant manually filing email attachments, which is slow and easy to lose. Staff burned hours producing status reports that could have been automated. For a recruitment business, slow visibility and manual admin directly limit how many placements the team can move at once.

How we engineered it
We built a structured candidate pipeline with explicit stage tracking — sourced, screened, interviewed, placed — so the state of every candidate is always clear. We gave client companies a self-serve portal showing real-time status, which removed the status calls entirely and freed the team to recruit. We implemented secure CV storage and retrieval to replace fragile email filing, and automated status notification emails that fire on every stage change rather than being written by hand. Cloud hosting, onboarding, and ongoing IT support keep the platform running so EuroWork can focus on placements.

React and Node.js gave a responsive pipeline interface backed by a flexible API, and MongoDB suited the varied, document-shaped data of candidates and CVs. Email automation off pipeline events is what eliminated manual status reporting entirely.
